How Nixi AI protects your data

Nixi AI listens to your conversation with the doctor and creates a written summary. Much like a medical secretary would. Your doctor then reviews and approves every note before it goes into your medical record. The AI never makes medical decisions.

Yes, but only with your consent. The audio recording is turned into a text transcript. The recording itself is stored encrypted and deleted automatically: on Nixi AI's servers in Frankfurt after 72 hours, and the backup copy in the browser after 4 hours at the latest.

No. Consent is completely voluntary. If you prefer not to use Nixi AI, simply tell your doctor. Your doctor will take notes manually instead, and your care will not be affected in any way.

Yes, you can withdraw your consent at any time. Just let your doctor know or send an email to privacy@nixiai.ai. Withdrawal applies to future appointments. Data already processed remains lawful under GDPR but you can request its deletion.

During the consultation, the following may be processed:

- The audio recording of the conversation (deleted after 72 hours)

- A text transcript of the conversation

- AI-generated clinical notes (summary, diagnoses, next steps)

Your data is stored in a data centre in Frankfurt, Germany, and uploaded documents in the Netherlands. It is processed in data centres in the EU and Switzerland, not in the USA. Transmission is encrypted, and so is the stored data.

Nixi AI retains consultation data for a maximum of 90 days. Your doctor chooses the exact retention period (up to 90 days) and decides where to save the final notes in your medical record. After the retention period, Nixi AI automatically deletes the data. You can also request earlier deletion at any time.

Your data is encrypted and only accessible to your doctor. For individual steps such as transcription, Nixi AI uses service providers that are contractually bound to confidentiality.

Only in anonymised form that can no longer be linked to you. Personal data is not used for this (DPA § 12).

You have two options:

- Ask your doctor directly. Your doctor's practice is the data controller and can handle most requests.

- Email us at privacy@nixiai.ai. We will respond within 30 days as required by law.

If you are not satisfied with the response, you may lodge a complaint with the supervisory authority (LfDI Hessen, Gustav-Stresemann-Ring 1, 65189 Wiesbaden).

Your doctor's practice is the data controller. They decide how and why your data is processed. Nixi AI GmbH acts as a data processor, meaning we only process data on your doctor's instructions and under a strict data processing agreement.

Yes. Nixi AI is built with privacy by design:

- Stored in Frankfurt, processed in data centres in the EU and Switzerland

- Audio is deleted automatically after 72 hours

- Strong encryption protects all data

- Only your doctor has access; Nixi AI's service providers are bound to confidentiality

- Your doctor reviews every note before it enters your record

Medical confidentiality (§ 203 StGB) is preserved. Nixi AI is bound to confidentiality by the data processing agreement, and so are its employees (in text form). Supplementary agreements on § 203 StGB are in place with Google and Microsoft, and the other service providers are contractually bound to confidentiality. Your doctor remains bound by their professional duty of confidentiality at all times.

No. Nixi AI is a documentation tool only. It creates a draft of clinical notes, but your doctor always reviews, edits, and approves everything before it becomes part of your medical record. No diagnosis or treatment decision is made by the AI.
